Dashboard, recordings & analytics

The Intavia dashboard shows your team what happened in every conversation and what still needs doing. Summaries, recordings, tasks and analytics sit in one place, so follow-up is easy to pick up and results are easy to see.

How it works

The dashboard is set up around your practice. Our team does the setup work: we agree with you who needs access and what should be tracked, and every conversation Intavia handles appears in the dashboard once it ends.

  1. Plan: we agree with you who on your team needs access, what each call should be labelled with, such as new patients, and which situations need follow-up.
  2. Record: when a conversation ends, its summary, transcript and recording, where recording is on, are added to the Conversations page.
  3. Classify: each call is labelled with what the caller needed and how it was handled, such as resolved by Intavia or couldn't complete, with any transfer shown alongside.
  4. Follow up: anything that needs a person becomes a task on the tasks board with the details already captured, and your team can be alerted by SMS or email.
  5. Work: your team assigns, notes and completes tasks, and each change is kept in the task's history.
  6. Review: analytics show call volumes, outcomes and how quickly tasks are completed, and most numbers open the conversations behind them.

What's in the dashboard

  • Conversations: every conversation with its summary, transcript, outcome and any follow-up actions, plus the recording for calls.
  • Tasks: a board of follow-up work, with urgency, assignment, notes and a full history.
  • Call performance: calls handled, how they were resolved, bookings, booking changes, calls that needed your team and when calls come in.
  • Task performance: how many tasks were completed, how quickly and by whom.
  • Team: invite team members and choose what each person can see and do.
  • Flag for Intavia: your team can send a conversation to our team with a note when something needs a closer look.

Anyone you invite. Roles run from Viewer, which is read-only, through Member and Admin to Owner, and Viewers and Members can be limited to specific pages and agents.

Yes. Each call's recording sits alongside its transcript and summary in the conversation. Recording can be switched off where your practice needs it.

A call counts as resolved by Intavia when the caller's request was completed during the call, including requests captured for your team to follow up, without a transfer to your team. Most numbers in the analytics open the conversations behind them, so you can check them yourself.

Yes. Task performance shows how many tasks were completed in a period, how long they took from creation to completion and who completed them, split by urgency.

Open it and use Flag for Intavia to send it to our team with a note. The note stays inside Intavia, and the flag shows on the conversation and its task.
